At Longwood Care, Inc., we value your trust and are committed to protecting your privacy. This Privacy Notice explains what personal information we collect, how we use it, and how we protect it, particularly given the sensitive nature of the behavioral health services we provide.

We collect personal information only when necessary to provide services, respond to inquiries, or improve your website experience. The types of information we collect include:

  • Intake referral information — name, phone number, email address, insurance type, and service-related details submitted through our referral form
  • Website usage data — anonymous visit data collected through Google Site Kit including pages visited, session duration, and general geographic region
  • Cookie data — small text files used to understand how visitors use our website

We do not collect payment information, Social Security numbers, or clinical records through our website.

How We Use Your Information

  • To respond to your inquiries submitted via the Contact form
  • To process and follow up on referral requests submitted via the Make a Referral form
  • To match individuals with appropriate clinical services and clinicians
  • To improve website performance through anonymized analytics
  • To communicate about services, programs, or events — only if you have requested this

Section 03

Contact & Referral Form Submissions

When you submit a message through our Contact Us form or a request through our Make a Referral form, your information is transmitted securely and delivered to our intake team via Google Workspace. Our Google Workspace environment is configured for HIPAA compliance, including:

  • Encrypted transmission using TLS (Transport Layer Security)
  • Access controls limiting visibility to authorized staff only
  • Secure storage within Google’s HIPAA-compliant infrastructure

Your referral and contact form submissions are delivered to HIPAA-compliant Google Workspace email. We retain this information only as long as necessary to respond to your inquiry or process your referral.

NOTE: Submitting a referral form does not constitute a clinical intake or establish a therapeutic relationship. For immediate mental health emergencies, contact your local Emergency Response team or dial 911.

Telehealth Services

Longwood Care offers telehealth services to clients across Massachusetts and nationwide. When engaging in telehealth services:

  • Sessions are conducted through HIPAA-compliant telehealth platforms
  • Clinical records and session information are maintained separately from website data and governed by our clinical privacy practices and applicable HIPAA regulations
  • No clinical session data, health records, or therapy notes are collected or stored through our website

Cookies

Our website uses cookies to improve your browsing experience and understand how our site is used. Longwood Care provides services to children and adolescents; however, our website is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13 through our website.

If a minor under the age of 13 wishes to make a self-referral, we ask that a parent or guardian contact our agency directly by calling (978) 972-1000 rather than submitting through the online form.

If you believe we have inadvertently collected information from a child under 13, please contact us at info@longwoodcare.org and we will promptly delete it.

Our website uses SSL/TLS encryption — indicated by “https” in the address bar — to protect information transmitted through our contact and referral forms. Form submissions are delivered to HIPAA-compliant Google Workspace infrastructure with appropriate access controls.

While we employ industry-standard safeguards, no method of electronic transmission or storage is 100% secure. We are committed to protecting your information and will notify you in the event of a breach as required by applicable law.

We do not sell, rent, or trade your personal information. We may share information only in the following limited circumstances:

  • Service providers — vendors retained to perform services on our behalf, bound by confidentiality obligations
